New clauses and amendments in the existing clauses in MOA from 2011 till date

Finance Sharing Policy of ACDOS: In case the society lends any money to a local organizing committee or a local chapter of the society as a seed money to host an event, it will be binding on the local organizing committee to return the seed money, without any deductions, within two months after the event is over. In addition, it will also be binding on the local organizing committee to give an audited statement to the society office for records within two months after the event is over. Moreover, if there is no local chapter of the society that hosts the event, the balance money, if any, should also be returned to the society in full. However, in case there is any local chapter of the society that hosts the event, the balance money, if any, should be shared between the local chapter and the society on a 60:40 ratio. In that case, if the local chapter has to file any tax return and pay any tax on the refund money, the same can be deducted at source and only the balance amount can be refunded.

3rd AGM 17.10.2014 3 True and proper accounts shall be kept of the sums of moneys received and expended by the Society. The books of accounts shall be maintained at the principal office of the society or at any other place as may be decided by the governing council from time to time. The accounting year of the society shall be from 1st day of April to 31st day of March every year. M
4 The accounts of the Society shall be audited annually by a qualified Chartered Accountant, appointed for the purpose by the Governing Council. Should a casual vacancy arise in the office of the Auditor, it can temporarily be filled-in by the Governing Council. Such an auditor shall either retire at the end of Annual General-body Meeting held subsequent to his/her appointment or continue in the position, provided majority of the members in the AGM approves his/her appointment. 5 The jurisdiction of the Society for carrying on its activities shall be within the territory of India.
6 Provision for Technical Sponsorship: The society is empowered to co-sponsor seminars/workshops without any financial obligation such that activities related to Control and Optimization within the country get a fillip. This will be called as "Technical co-sponsorship". The governing council of the society will authorize the approval of technical co-sponsorship after receiving a formal application from the event organizers. N
7 Institutional/ Corporate class of membership subscription to the society is proposed as clause 3.1 and approved as follows:

8 Any institution or corporate that has a significant focus in the areas of automatic control and dynamic optimization and/or allied fields is eligible to be enrolled as a member by application and on payment of the membership fees prescribed as above. N
9 Approval for Local Chapters
The following points were discussed for connection with the creation of Local Chapters of the society.
a) State wise, region wise and city wise local chapters to be permitted under specified framework of reference.
b) Additional Administrative Laws of Local chapter as per law of the State, where the chapter is located – (i) the governing council will be at the registered office of the society only, and administrative staff may be employed by the local chapter to administer its operation.

c) ACDOS will provide an annual grant as fixed by the governing council from time to time up to 5 years. The grant must be utilized during the year and balance amount, if any, to be kept in a separate account and consumed within three years. Local chapters must adjust unspent balance in the next financial year in a separate account. The governing council releases grants only after the submission of audited accounts. In rare circumstances, a local chapter can be closed after transferring its funds to the society and a formal approval by the overning council.
10 Creation of Additional Vice-Presidents (Amendment to the existing clause 13 of office bearers)
To make its operations smoother across the country, and abroad, the society proposed creation of two additional Vice-Presidents, and the same has been approved for its incorporation in the MoA by the members during the meeting.

11 Reduced Documentation for Membership Application form:
To simplify the enrolment process of members to society, it is proposed to reduce the number of documents to be furnished along with the application form.
a) For Professional membership: Address proof, photograph (preferably a soft copy in .jpg format), Any valid Government-issued ID proof (all self-attested)
b) For Student membership: photograph preferably a soft copy in .jpg format), copy of the degree certificate, and current student ID proof (all self-attested)
